Selection and Screening Procedures
Selection and screening procedures for candidates are designed to maximize a match between applicants and faculty members. The requirements for admission are:
- Trainees must complete all requirements for the Doctoral degree (Ph.D., M.D., Sc.D., D.Ph., etc.) before entering the training program and must be U.S. citizens or permanent residents.
- Prospective trainees invariably access information on the program at our website address (http://www.prev.org/preventiontraining). The first steps of the application process are often conducted through e-mail exchanges with the Program Administrator. Candidates can also download a copy of the faculty roster with a list of current publications and statements of research interests from the website.
- Candidates are encouraged to contact potential mentors directly to discuss the program, the candidates’ goals, and the possibility of mentorship relationship (i.e., match of interests and willingness of the faculty member to serve as a mentor).
- Candidates are asked to submit an up-to-date vitae, an abstract of their dissertation, preprints or reprints of recent publications, and a statement of objectives for the fellowship. They are also asked to identify faculty members with whom they share interests and who are potential mentors. Faculty members who are identified as potential mentors are provided with copies of the application materials. Candidates are asked to provide two letters of recommendation.
- The Training Committee reviews all applications for completeness, provides an initial evaluation of the candidates, assesses their fit with the program, and identifies potential mentors. The Training Committee provides the application materials to potential mentors for feedback (these may include faculty members beyond those identified by the candidate). Should a member of the faculty agree to consider working with the prospective candidate, the Chair of the committee informs the candidate and arranges correspondence between them.
- Prospective trainees are interviewed by telephone or in person when possible. These interviews focus on the prospective trainee's expectations and goals, fit with the program and mentor, and qualifications.
- The Training Committee and potential mentors then rank the candidates and make recommendations for acceptance to the program. The final determination regarding the acceptance of prospective trainees is made by the Program Director and Training Director in consultation with the Training Committee.
- Trainees, in collaboration with their mentors, complete a formal work plan within 2 weeks of arrival at PRC. This work plan includes specifications of training goals and activities and how each of the program requirements will be met.
- The work plan is submitted to the Training Director who reviews it with members of the Training Committee. Each work plan represents a joint commitment by a faculty member and trainee to accomplish the work specified.
- When approved, the work plan is signed by the mentor, trainee, and Training Director. The original is placed in trainee’s file.
- Prior to a second year appointment, the following documents must be prepared and submitted to the Training Committee: (a) A memo of support prepared by the mentor stating that he or she agrees that suitable progress has been made and is committed to continue mentoring the trainee; (b) A summary of progress on the first year's goals with comments regarding problems in achieving goals (written by post-doc and approved by mentor); and (c) a work plan for year two.
- The Program Director will notify the Trainee, Training Director, and Administrative Associate when the appointment for year two has been approved.
